1. Roles
The tyre shop using RimRoom (the "Operator") is the controller of its own customer, vehicle and tyre storage data and decides how that data is used.
RimRoom, the software provider, processes that customer data on behalf of the Operator as a processor. RimRoom acts as a controller only for the data it needs to run the service itself: account and user data, billing details, security logs and service-operation records.
The provider responsible for that service-operation data is:

2. What we process
- User data: name, email address, phone number, language preference.
- Customer data: name, phone number, email address, address, tax number, licence plate, vehicle details.
- Storage data: tyre set details, photographs, shelf location, movement history.
3. Purpose and legal basis
We process data to deliver the tyre storage service (performance of a contract), to meet accounting obligations (legal obligation) and to operate the service securely (legitimate interest).
4. Where data is stored
All data is stored on servers inside the European Union. Uploaded photographs are kept in a private bucket and are only accessible through short-lived signed links.
5. Retention
Personal data attached to checked-out tyre sets is anonymised automatically once the configured retention period (24 months by default) has elapsed.
6. Your rights
You may request a copy, correction or erasure of your data at any time. After an erasure request the movement history is kept in anonymised form so the shop retains a defensible operational record.
7. Cookies and optional analytics
Necessary cookies support signing in and keeping you signed in. With your consent, we also use OpenPanel to measure page visits and product events such as registration, starting checkout and completing onboarding. OpenPanel receives technical connection data needed to process these requests. We do not send names, email addresses, licence plates, customer records, authentication tokens or private record URLs to analytics. Session recording and automatic click capture are disabled.
Analytics is optional and is not loaded until you choose "Allow analytics". You can decline without losing access to the service and withdraw consent at any time using "Privacy settings". Your choice is stored in your browser. Withdrawal stops future analytics events; it does not erase events already processed. For deletion requests, contact us below.
