How to use QR labels for tyre storage

A QR label is most useful when it is part of a consistent process. The code should identify the stored set, while the software connects it to the customer, vehicle, shelf and recorded condition.

1. Record the customer, vehicle and set

Start intake by finding or creating the customer and vehicle, then link the licence plate to the tyre set. Record the useful tyre details and season, and add condition photos where needed. This establishes the digital record before a physical label is attached, reducing the chance that an unlabelled stack becomes separated from its owner.

2. Assign a storage location

Give shelves clear codes that staff can also read without a phone. During intake, assign the set to an available location. The readable shelf code is an important fallback: QR labels support the process, but they should not replace sensible signs and a consistent warehouse layout.

3. Print and attach the label

RimRoom creates a unique QR label for each set and supports printable label sheets and continuous label rolls. Attach it where staff can scan it without unpacking the whole stack, but avoid a surface likely to become wet, heavily abraded or hidden. Keep the printed plate or identifier legible as a manual fallback.

4. Scan to locate the set

When a customer arrives, scan the QR label with a phone to open the matching set record and see its assigned storage location. Staff can also search by licence plate if the label is damaged or unavailable. Because the location belongs to the set record, a move should always be recorded rather than corrected only on the physical label.

5. Record the release

At collection or seasonal changeover, open the set from the scan or search result and record its release. This closes the storage movement and frees the location for later use. If the same set returns in another season, begin a new intake movement rather than treating the previous shelf assignment as current.

Simple operating rules

  • Print the label only after the customer, vehicle and set are confirmed.
  • Use one label identity per set and replace damaged labels deliberately.
  • Record every shelf move in the system.
  • Retain readable plate and shelf information as a fallback.
  • Check the record with the physical set before release.

QR labels do not fix inconsistent intake by themselves. Their value comes from joining the physical set to a record the whole team can use on mobile. If you are deciding whether your existing list is still sufficient, read our fair comparison of spreadsheets and tyre storage software.
